Information we collect
When you contact us, we may collect your name, email address, phone number, enquiry details and any other information you choose to provide.
If you become a landlord, tenant, contractor or other client, we may need additional identity, financial, property and tenancy information. We will explain that processing when it is collected.
Why we use your information
- To respond to enquiries and provide requested information.
- To take steps towards, enter into and manage a contract with you.
- To meet legal and regulatory obligations.
- To protect our legitimate interests in administering and securing our services.
We do not sell personal information.
Who processes your information
Enquiries sent through our website form are processed by these service providers, solely to operate, secure and deliver the enquiry service:
- Totalsoft IT Solutions Ltd — builds and runs this website and the service that passes your enquiry to us. It does not keep a copy of your enquiry.
- Cloudflare, Inc. — hosts this website and runs the security check on our form (Cloudflare Turnstile), which looks at technical information from your browser, such as your IP address, to tell people from automated spam.
- Amazon Web Services (servers in London) — delivers your enquiry to our inbox by email.
Some of these providers may process data outside the UK; where they do, it is protected by safeguards approved under UK data protection law, such as the UK International Data Transfer Addendum. We may also share information where required by law or with professional advisers and service providers involved in managing a property or tenancy.
Retention and security
General enquiries are normally retained for up to 24 months. Information connected with a contract, tenancy, legal obligation or dispute may be kept longer where required. We use reasonable technical and organisational measures to protect information from loss, misuse and unauthorised access.
Your rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict your information, object to processing, or receive a portable copy. Contact us to exercise a right. You may also complain to the Information Commissioner’s Office.
